to join them to oversee and handle all Office Administration functions within the business.


Are you the Office Manager with strong accounting skills for this relatively small team of 5 in the centre of Utrecht? Are you parttime – 24 hours a week – available? Do you like working with numbers & spreadsheets?
The Office Manager for Aqua Aero Coatings is an allround management supporter with strong financial, secretarial & office management skills.


Finance & Accounting

  • Accounts Payable: book and send invoices, manage payment terms.
  • Accounts Receivable: create and book invoices in Exact Online, manage late payments.
  • Memorial: book depreciation/expenses/debits and salaries administration.
  • Control of the administration of several companies: control billing, support administration.
  • Reports: aging of payables and receivables per week, assist in setting up contracts and management information reports, control general ledger (with external accountant every two weeks).
  • Prepare quarterly VAT and ICL declaration for accountant.

Office Management

  • Preparation of correspondence, managing templates in Word and Excel, receiving guests, diary management and mailboxes.
  • Organize, prepare and take minutes of meetings (in English) once a week, record actions taken or assigned and do the follow-up.
  • Take care of inventory management and purchases.
  • See to an orderly and pleasant office atmosphere.

Personal Assistant of Director

  • Follow up of day to day business.
  • Manage the archive and filing tasks.


  • Organize get-to-gathers, drinks & dinners and order daily lunches.
  • Assist in supply chain management & logistics.
  • Assist with HR matters.

Functie eisen


  • Accounting skills f.e. at the level of Moderne Bedrijfsadministratie (MBA) or Praktijkdiploma Boekhouden (PDB) or equivalent.
  • Excellent communication skills in Dutch and English.
  • Knowledge of accounts software preferably Exact; proficient in Excel and Office365.
  • Strong numeracy, problem solving and analytical skills.
  • Self-motivated with the ability to work unsupervised and plan workload.


  • You are a flexible team player with the ability to work independently. Also you are pro-active, self-motivated and energetic. Your administration skills are with a fine attention to detail.
  • You preferably live close to Utrecht and travel by bike/scooter or public transport. The company is located within walking distance of Utrecht Central Station. Car parking is not possible.



  • An opportunity to work in a small team with a motivated and enthusiastic owner/managing director.
  • A job with content and responsibility in a parttime position for 24 hours a week, spread over 3 or 4 days. The working hours per day are negotiable, but your presence is required on Friday morning.
  • The office is situated next to the Central Station of Utrecht.
  • The salary depends on your knowledge and experience.
  • The job is for permanent employment but you will start on a temporary contract; direct onboarding at AQUA AERO.
  • A Dutch and English language proficiency test + intelligence test is part of the procedure.
